The HRSS Delivery Lead β Japan HR Shared Services role is responsible for managing Japan HR Shared Services operations from the regional delivery hub. The position focuses on ensuring high-quality, compliant, and efficient HR service delivery while acting as the key operational connection between the delivery hub and Japan HR stakeholders.
The selected candidate will lead a team of bilingual HR professionals, drive operational excellence, manage stakeholder relationships, and continuously improve Japan-facing HR processes. The role requires strong leadership abilities, excellent communication skills in Japanese and English, and experience managing shared services delivery in a global organisation.
Key Responsibilities include owning end-to-end delivery of Japan HR Shared Services operations, ensuring accuracy, timeliness, compliance, and service excellence. The role involves monitoring operational performance, managing delivery risks, resolving issues, maintaining standard operating procedures, improving process documentation, and implementing sustainable solutions to enhance efficiency and service quality.
The candidate will serve as the primary point of contact for Japan HR stakeholders, including managers and senior HR leaders. The role requires building trusted relationships through professional communication, representing the delivery hub in governance meetings, reviews, and stakeholder discussions while ensuring culturally appropriate communication with Japan-based teams.
The position also involves leading, coaching, and developing a team of HR Administrators and Coordinators. Responsibilities include conducting performance discussions, providing feedback, supporting career development, managing workload and resource allocation, supporting language capability development, onboarding new team members, and participating in recruitment activities including candidate assessments and interviews.
The HRSS Delivery Lead will also manage governance, reporting, and risk management activities by preparing operational updates, performance dashboards, and leadership reports. The role includes monitoring service metrics such as volume, cycle time, quality, escalations, and service levels, maintaining risk registers, ensuring audit readiness, and aligning operational planning with Japanβs annual HR cycle.

Required Qualifications and Experience:
Bachelorβs degree in Human Resources, Business Administration, Commerce, or related field.
7 to 12 years of experience in HR operations or HR shared services.
Proven experience leading teams within shared services, global business services, or multinational environments.
JLPT N2 certification or equivalent Japanese language proficiency.
Strong knowledge of HR systems including SuccessFactors, ServiceNow, Workday, or similar HR platforms.
Advanced skills in Microsoft Excel and PowerPoint.
Fluent written and verbal English communication skills.
Strong analytical, problem-solving, leadership, and stakeholder management capabilities.
Preferred Experience:
JLPT N2 or N1 certification.
Experience supporting Japan-based stakeholders or working in a Japanese business environment.
Experience managing operational transformation and process improvement initiatives.
Knowledge of HR governance, controls, and audit requirements.
