Role Overview
Indovance is hiring an HR Operations Executive to manage day-to-day human resources administration and workforce lifecycle workflows. Based on-site at the Pune City office, this position entails handling end-to-end employee onboarding, background screening validations, HR documentation, payroll coordination, statutory audits, and employee separation processes. The professional will act as an accessible representative of the HR department, maintaining data integrity across the Zoho People HRMS platform and coordinating with internal business units, administration, and IT teams. Working remotely or from home is strictly not permissible for this role.
Key Responsibilities
Employee Onboarding and Orientation
Manage complete pre-onboarding and joining workflows including documentation collection, offer validations, and welcoming formalities.
Ensure a smooth joining experience and provide post-onboarding support to help new personnel integrate effectively.
Prepare and distribute welcome kits for incoming personnel.
Organize and facilitate comprehensive employee induction and orientation programs.
Audit employee data, configure new profiles in internal systems, and maintain complete records in Zoho People HRMS.
Handle high-volume onboarding pipelines and execute bulk data uploads in Zoho People.
Collaborate closely with business unit heads, team leads, HR business partners, IT, and facility teams for seamless operational onboarding.
Documentation and HR Administration
Draft and issue employment contracts, confirmation letters, experience letters, and other formal HR certificates.
Maintain and update physical and digital personnel files and statutory records.
Perform scheduled audits of employee data files and HR databases to ensure accuracy.
Evaluate documentation procedures and introduce modern administrative practices.
Payroll Coordination
Consolidate and provide verified monthly payroll inputs to the payroll processing team and external vendors.
Reconcile attendance logs, leave balances, incentives, deductions, and organizational employee changes.
Address and resolve employee payroll questions in coordination with finance and accounting partners.
Support statutory documentation connected to compensation and payroll activities.
HR Compliance and Process Management
Support organizational compliance with state labor regulations and statutory requirements.
Maintain and organize workforce compliance registers and legal records.
Assist internal and external compliance auditors during operational reviews.
Ensure uniform enforcement of company HR policies, standard operating procedures, and operational guidelines.
Employee Exit Management
Supervise end-to-end employee separation formalities and clearance protocols.
Coordinate department clearances, asset recovery, and formal documentation.
Conduct structured exit interviews and maintain records of employee departure feedback.
Ensure prompt processing of relieving letters, experience letters, and full and final settlement statements.
Background Verification and Employment Screening
Manage end-to-end background verification processes for all new hires.
Authenticate past employment records, educational credentials, address proofs, and identity documents.
Monitor background screening progress and ensure verification closures comply with organizational timelines.
Evaluate verification reports, report adverse findings, and escalate discrepancies to senior management.
Maintain confidential verification records in accordance with data privacy protocols.
Requirements and Qualifications
Bachelor degree in any stream, with an MBA or Post Graduate Degree in Human Resources preferred.
2 to 3 years of hands-on experience in HR operations, personnel administration, or employee lifecycle management.
Hands-on proficiency with Zoho People HRMS, especially regarding bulk data updates and employee profile maintenance.
Advanced skills in Microsoft Excel, including VLOOKUP, pivot tables, data reconciliations, and analytical formulas.
Proficiency with Microsoft PowerPoint for creating operational presentations and dashboard decks.
Sound understanding of Indian labor regulations and standard statutory compliance requirements.
Strong verbal and written English communication skills.
Highly detail-oriented, process-focused, and comfortable serving as an approachable primary face of the HR function.
