Job Description
Ramboll is hiring a Payroll Specialist - EMEA - Norway / Sweden to join its Global HR Operations team. Ramboll is a foundation-owned global architecture, engineering, and consultancy company with more than 18,000 experts across 35 countries. In India, Ramboll has over 1,800 professionals working across five offices delivering solutions in Buildings, Transport, Planning and Urban Design, Water, Environment and Health, Energy, and Management Consulting. This role focuses on delivering accurate, compliant, and employee-focused payroll services for Sweden and Norway while working closely with payroll vendors and internal stakeholders. The position is available in Gurugram or Noida with a hybrid work model.
Job Responsibilities
Own the complete monthly payroll cycle for Sweden and Norway including payroll input review, payroll validation, variance analysis, approval support, and post-payroll reconciliation.
Apply practical knowledge of Swedish and Norwegian payroll legislation, taxation, social security, pensions, employee benefits, vacation, sickness, parental leave, terminations, and statutory reporting requirements.
Review and validate payroll calculations prepared by external payroll vendors rather than acting only as a coordinator.
Validate payroll inputs and outputs against employment contracts, collective bargaining agreements, company policies, and local legal requirements.
Perform payroll reconciliations, gross-to-net validation, payroll control reviews, retroactive calculation verification, and root cause analysis of payroll discrepancies.
Resolve complex payroll matters including retroactive salary revisions, leave corrections, employee benefits adjustments, pension updates, off-cycle payments, overpayments, and final settlements.
Partner with HR, Finance, Rewards teams, payroll vendors, and employees to explain payroll outcomes and resolve payroll-related queries.
Maintain payroll calendars, internal controls, process documentation, and statutory compliance records for Sweden and Norway.
Support payroll process improvements, automation initiatives, vendor governance, and stronger payroll controls across Nordic payroll operations.
Collaborate with cross-functional teams to ensure payroll accuracy, compliance, and continuous operational improvement.
Qualifications
Minimum 6 to 7 years of hands-on payroll processing experience with substantial responsibility for Sweden and Norway payroll.
Strong knowledge of Swedish and Norwegian payroll legislation, taxation, social security, pensions, vacation rules, sickness benefits, parental leave regulations, and collective bargaining agreements.
Experience reviewing payroll calculations within payroll systems.
Experience working with HRIS platforms such as Workday.
Knowledge of ServiceNow or similar case management tools is an advantage.
Strong Microsoft Excel and analytical skills.
Experience working with third-party payroll vendors while retaining ownership of payroll accuracy and compliance.
Ability to independently investigate payroll issues and provide practical recommendations.
Experience documenting payroll processes and improving payroll controls.
Candidates whose experience is limited to payroll coordination, input collection, or vendor follow-up without hands-on payroll calculation experience may not be suitable for this role.
