Job Description
Multiplier AI is seeking a proactive and highly organized HR & Admin Executive to manage employee relations, HR operations, office administration, vendor coordination, system administration, and day-to-day operational activities. The ideal candidate should be capable of handling both HR and administrative responsibilities while ensuring smooth office operations and a positive employee experience.
The selected candidate will handle employee onboarding, induction, documentation, and exit formalities. Responsibilities include maintaining employee records, attendance, leave management, and HR databases through Keka HRMS. The role requires managing HR operations including employee lifecycle management, onboarding processes, HR documentation, offer letters, appointment letters, experience letters, and other HR-related documents.
The candidate will support employee engagement initiatives, address employee queries and concerns, foster positive employee relations, assist in grievance handling and conflict resolution, support HR policies and compliance activities, and coordinate with management regarding employee performance, attendance, and disciplinary matters.
On the administration side, the role includes managing day-to-day office operations, coordinating with vendors and service providers for housekeeping, stationery, internet, maintenance, courier services, office equipment, and operational requirements. Responsibilities also include obtaining quotations, vendor negotiations, purchase processing, maintaining vendor records, invoices, agreements, and payment follow-ups.
The candidate will manage office supplies, inventory, procurement, asset tracking, office infrastructure maintenance, CCTV systems, biometric devices, access control systems, networking equipment, and workplace security infrastructure. The role involves employee laptop allocation, IT asset issuance and recovery, IT inventory management, system setup, email account creation, software access management, user permissions, onboarding and offboarding IT requirements, and coordination with IT vendors for hardware, software, internet, and technical support.
Additional responsibilities include employee seating arrangements, workstation allocation, meeting coordination, travel arrangements, employee events, visits to banks, government offices, vendors, courier offices, document management, contract and license maintenance, compliance records management, office discipline, cleanliness, safety standards, and providing administrative support to leadership teams.
Immediate joiners are preferred. Prior experience with Keka HRMS, IT asset management, CCTV monitoring, biometric systems, and basic system administration is highly preferred. The ideal candidate should possess strong ownership, multitasking abilities, and the capability to work independently in a fast-paced environment.
