Engineersmind is hiring a US Staffing Administrator for its Bengaluru office. This is a full-time on-site opportunity. The company operates in the IT staffing and consulting services industry, supporting U.S. clients through staffing operations, consultant management, recruitment support, compliance, and workforce administration.
The US Staffing Administrator will support U.S. Staffing operations from the offshore office by managing end-to-end administrative, onboarding, compliance, employee lifecycle, documentation, and operational support activities for consultants working with U.S. clients. The role requires strong organizational skills, attention to detail, excellent communication abilities, and knowledge of U.S. staffing processes, employment documentation, and HR operations.
The selected candidate will manage HR operations including new hire onboarding, employee records, personnel files, HR databases, employee lifecycle activities such as onboarding, status changes, leave tracking, and offboarding. Responsibilities include preparing employment communications, offer letters, experience letters, HR correspondence, coordinating background verification and employment verification processes, and maintaining employee documentation as per company policies.
The role also involves supporting U.S. staffing operations for W-2, C2C, and 1099 consultants, coordinating consultant documentation before project start dates, tracking consultant assignments, extensions, end dates, work authorizations, contracts, and compliance documents. The candidate will collaborate with recruiters, account managers, payroll, and finance teams to ensure smooth consultant onboarding and operational execution.
Additional responsibilities include tracking visa expirations, EAD renewals, passport validity, immigration documentation, coordinating with immigration attorneys, maintaining I-9 compliance records where applicable, assisting with H-1B, I-140, PERM, and related immigration documentation, coordinating with client onboarding teams, managing vendor portals, tracking MSP and client requirements, supporting timesheet follow-ups, payroll coordination, invoice tracking, purchase orders, expense reimbursements, operational reporting, and maintaining confidential employee and business records.
Candidates should possess a Bachelor's Degree in Human Resources, Business Administration, or a related field with 2 to 5 years of experience in HR Operations, U.S. Staffing Operations, or Staffing Administration. Strong understanding of U.S. staffing employment models such as W-2, C2C, and 1099, consultant lifecycle management, employment documentation, compliance processes, HRIS platforms, Microsoft Excel, Word, and Outlook is preferred. The ideal candidate should have strong documentation skills, ability to manage multiple priorities, process improvement mindset, and professionalism while handling confidential information.
