Ramboll is looking for an experienced Payroll Specialist with hands-on knowledge of Swedish and Norwegian payroll processes. The role is part of the Global HR Operations department and will be responsible for delivering accurate, compliant and employee-focused payroll services.
This is not a payroll coordination role. The candidate will be responsible for understanding and reviewing actual payroll calculations, statutory deductions, collective agreement impacts, leave and absence treatment, pensions, benefits, terminations, retroactive adjustments and payroll reconciliations. The role requires strong technical payroll expertise and ownership of payroll accuracy, controls and issue resolution.

Key Responsibilities:
Own the end-to-end monthly payroll cycle for Sweden and Norway including input review, payroll validation, variance analysis, approval support and post-payroll reconciliation.
Apply practical knowledge of Swedish and Norwegian payroll taxation, social security, pension, benefits, leave, vacation, sickness, parental leave, terminations and statutory reporting requirements.
Review and challenge payroll calculations prepared by external vendors instead of only acting as a coordinator.
Validate payroll inputs and outputs against employment terms, collective bargaining agreements, company policies and local legislation.
Perform detailed payroll reconciliations, gross-to-net checks, control reviews, retroactive calculation checks and root-cause analysis of payroll discrepancies.
Resolve complex payroll cases including retroactive salary changes, leave corrections, benefits adjustments, pension changes, off-cycle payments, overpayments and final settlements.
Partner with HR, Finance, Rewards teams and employees to explain payroll outcomes clearly and resolve payroll queries with technical expertise.
Maintain payroll calendars, controls, process documentation and statutory compliance records for Sweden and Norway.
Support payroll process improvements, automation initiatives, vendor governance and stronger controls across Nordic payroll operations.
Qualifications:
Minimum 6-7 years of hands-on payroll processing experience with significant practical responsibility for Sweden and Norway payroll.
Strong knowledge of Swedish and Norwegian payroll legislation, taxation, social security, pensions, vacation, sickness and parental leave regulations.
Experience with collective bargaining agreements is highly desirable.
Experience reviewing payroll calculations in payroll systems and working with HRIS platforms such as Workday. Familiarity with ServiceNow or similar case management tools will be beneficial.
Strong Excel and analytical skills with the ability to independently reconcile payroll data, identify variances and explain calculation logic.
Experience working with third-party payroll vendors while maintaining internal ownership of payroll accuracy, controls and compliance.
Ability to independently investigate payroll issues, provide recommendations and collaborate with stakeholders across countries and functions.
Solution-oriented mindset with confidence in handling detailed payroll queries and technical payroll matters.
Experience improving payroll controls, documenting processes and sharing payroll knowledge across teams.
Candidates whose experience has mainly been limited to payroll coordination, input collection or vendor follow-up without direct responsibility for reviewing and understanding payroll calculations may not be suitable for this role.
