The successful candidate will closely work with the team of one of Dataction's esteemed clients from the UK. The client operates in the global travel and event management arena and provides extraordinary service supported by proprietary, client-led technology. The client is building a global Learning Ecosystem to support consistent training, onboarding, development, and compliance across its international business.
The Talent Acquisition Administrator will provide accurate, timely, and professional administrative support throughout the Personal Trainer recruitment process. The role helps candidates and hiring managers move smoothly through each stage of recruitment by maintaining recruitment systems, arranging interviews and assessments, issuing communications, following up on outstanding actions, and keeping recruitment records complete and up to date.
This is an entry-level recruitment support role. The position does not independently own recruitment strategy, workforce planning, employer-brand strategy, or final hiring decisions. The postholder works within established processes and under the direction of the Talent Acquisition Executive or Global People Manager.
Applicant Tracking and Recruitment Administration:
Process candidates through Workable and ensure each candidate is recorded in the correct recruitment stage.
Review applications against agreed minimum entry requirements and refer unclear cases to the Talent Acquisition Executive.
Complete basic shortlisting and administrative checks using agreed criteria and process guidance.
Maintain accurate candidate notes, contact details, documents, assessment outcomes, and status information.
Use the correct Workable templates, disqualification reasons, and communication records.
Identify missing information or overdue actions and follow up with the relevant candidate, manager, or assessor.
Monitor shared recruitment inboxes and respond to routine enquiries within the agreed service level. Escalate non-routine or sensitive matters when required.
Interview and Assessment Coordination:
Arrange initial calls, interviews, practical assessments, recruitment days, case-study reviews, online tests, and final-stage interviews.
Coordinate availability and issue accurate calendar invitations, booking links, joining instructions, and assessment information.
Manage rescheduling, cancellations, and non-attendance while keeping all parties informed and updating Workable promptly.
Send test links, case-study materials, and other candidate exercises at the correct stage of the process.
Record test results and completed assessment outcomes accurately in Workable.
Follow up with managers and assessors where scorecards or evaluations have not been completed within two working days.
Support the administration of recruitment days, including invitations, attendance lists, candidate information, and follow-up communications.
Candidate Communication and Experience:
Act as a helpful and professional point of contact for candidates throughout the recruitment process.
Send clear confirmations, reminders, next-step updates, and outcome communications using approved templates.
Provide factual information about the recruitment process, role requirements, and expected timescales without making commitments outside the postholder's authority.
Maintain appropriate contact with candidates who have been placed on hold, record updates in Workable, and confirm when they will next be contacted.
Escalate candidate complaints, safeguarding concerns, data issues, or other sensitive matters promptly.
Hiring Manager Support:
Provide day-to-day administrative support to Gym Managers, Regional Managers, and appointed assessors using the PT recruitment process.
Confirm upcoming interviews and assessments and highlight any missing information or actions.
Help managers use Workable, Microsoft Bookings, and the agreed recruitment documentation correctly.
Keep recruitment calendars, booking availability, and process information up to date.
Communicate changes in location recruitment status or process requirements as directed by the Talent Acquisition Executive or Global People Manager.
Offers and Onboarding Handover:
Record the outcome of final interviews and verbal offers once confirmed by the appropriate manager.
Check that the required new-starter information has been submitted and follow up on missing or incorrect details.
Coordinate the administrative handover to HR for contracts, pre-employment documentation, and onboarding.
Update Workable when candidates accept, decline, withdraw, remain on hold, or are confirmed as hired.
Ensure no candidate is treated as fully hired until the required internal process and documentation have been completed.
Data, Compliance and Reporting Support:
Handle candidate information confidentially and in accordance with data-protection requirements and UP procedures.
Ensure recruitment notes are factual, job-related, and do not contain inappropriate references to protected characteristics.
Assist with routine recruitment reports, including candidate volumes, recruitment stages, outstanding actions, and location status.
Maintain approved templates, guidance documents, and recruitment trackers under direction.
Report suspected data breaches, process errors, or inappropriate recruitment conduct immediately.
Undertake other reasonable administrative duties consistent with the level of the role.
