The HR Admin will report directly to the CEO and play a key role in supporting people operations, administration, compliance, finance coordination, recruitment, onboarding, and organizational effectiveness
About the Role:
We are looking for an HR Admin to support the day-to-day administrative and people operations of One Future Collective.
This role is responsible for ensuring the smooth functioning of organisational systems across recruitment, onboarding, HR administration, documentation, compliance, finance coordination, and general operations. You will play a key role in building and maintaining efficient internal processes that enable colleagues to do their best work.
This is a highly organised and detail-oriented role suited to someone who enjoys creating systems, solving operational challenges, and supporting a collaborative team. As a growing organisation, there will also be opportunities to contribute to improving internal processes and strengthening organisational effectiveness.
Educational Qualifications:
A Bachelor's degree or equivalent qualification in Human Resources, Business Administration, Management, Commerce, Public Administration, or another relevant field is preferred.
A Master's degree is not required. Candidates will be assessed based on relevant professional experience, demonstrated skills, and the ability to perform the responsibilities of the role.
Experience Requirements:
Applicants must have at least 1 to 2 years of relevant full-time professional experience in HR, administration, operations, office management, or related fields.
Experience coordinating recruitment and onboarding processes.
Experience maintaining documentation and administrative records.
Strong organisational and time management skills.
Excellent written and verbal communication skills.
Proficiency in Google Workspace and Microsoft Office.
Experience working in a nonprofit, consulting firm, or startup environment will be considered an advantage.

Roles and Responsibilities:
Human Resources Administration
Coordinate recruitment processes including interview scheduling, candidate communication, and recruitment documentation.
Support employee onboarding and offboarding processes.
Maintain personnel records and ensure HR documentation remains accurate and up to date.
Assist with leave management, attendance records, and employee documentation.
Support the implementation of HR policies and internal processes.
Administrative Operations
Manage organisational calendars, meeting schedules, and internal logistics.
Coordinate travel, accommodation, and event logistics where required.
Maintain organisational records, templates, and administrative systems.
Support procurement activities and vendor coordination.
Ensure efficient day-to-day office and organisational operations.
Finance and Compliance Support
Support invoice processing, reimbursement tracking, and financial documentation.
Coordinate with external accountants and finance partners.
Maintain records required for statutory compliance and organisational reporting.
Support contract preparation and documentation for consultants, vendors, and partners.
Ensure organisational documentation is securely stored and systematically maintained.
Operations and Systems
Maintain internal organisational systems and improve administrative workflows.
Coordinate organisational subscriptions, software licences, and operational resources.
Develop and maintain administrative templates, trackers, and standard operating procedures.
Identify opportunities to improve efficiency across organisational processes.
Team Support
Provide administrative support to programme and consulting teams.
Coordinate internal meetings and documentation.
Support organisational events, workshops, and team gatherings.
