The Associate - Global Payroll role is responsible for analyzing and reviewing the payroll compliance process within human resources. The position contributes to enterprise payroll processing procedures and responds to employees' payroll questions. Under moderate supervision, the candidate will prepare and process payroll-specific maintenance activities including reconciliation of records, legislation compliance, data verification, administration, and reporting.
The role involves reviewing payroll data, production records, and individual attendance records within the HRIS and payroll system and correcting errors to ensure the accuracy of payroll payments. The candidate will calculate gross and net pay amounts accurately, including salary, timesheets, overtime, shift payments, sales commissions, bonuses, deferred compensation, benefits, tax withholdings, deductions, and payroll liabilities.
Responsibilities include working on retroactive location changes, travel allocations, wage corrections, tax validation, garnishment processing, and W-2 corrections. The candidate will reconcile payroll records including payments, deductions, benefits, and taxes and process organizational payroll accurately.
The candidate will ensure the balance of payroll runs and compliance with related requirements including minimum wage, local tax rates, and applicable federal and state regulations. The role requires responding to and managing employee inquiries and troubleshooting issues related to payroll.
The candidate will coordinate and process different types of payroll payments including one-time payments, bonus payments, executive deferred compensation plans, and other applicable payments while ensuring compliance and correct tax deductions. The role also involves performing periodic audits of payroll data to ensure accuracy of employee pay information.
The Associate will maintain day-to-day relationships with internal and external payroll partners and perform methodological reviews of payroll data based on established procedures to ensure payrolls are processed accurately and within required timelines. The candidate should be able to work with the business, collaborate cross-functionally, and provide appropriate solutions.
The role includes working as a subject matter expert to update and maintain business process policies and procedures. Responsibilities also include preparing and filing tax reports and communicating with third-party payroll and tax reporting vendors.
The candidate will partner with third-party vendors regarding unemployment, garnishment, and other notices to verify employment information, pay data, and deduction data and perform follow-up as necessary. The candidate will also provide backup support for other Payroll team member duties as needed.
The position requires proactive problem-solving capabilities with the ability to multitask and resolve issues in a fast-paced environment. Candidates must have 5+ years of hands-on payroll experience, including 3+ years of hands-on U.S. payroll experience. At least 3 years of payroll experience with proven capability in data entry, customer service, and problem resolution is required.
Candidates should have a thorough understanding of payroll systems and processes, including payroll tax laws, direct deposits, benefits, and deductions. Sound and comprehensive communication and diplomacy skills are required to exchange complex information effectively. Integrity and professionalism are essential for handling sensitive and confidential information.
Good knowledge of MS Excel and its features is required. Candidates should have good communication and interpersonal skills to interact effectively with the onshore team and payroll vendors. The role requires a self-starter who can work with minimum or no hand-holding support.
The ideal candidate should be detail-oriented and possess analytical thinking skills to ensure accurate payroll processing and record keeping. Strong problem-solving skills are required to address payroll issues and discrepancies swiftly and efficiently. Candidates must be open to working in U.S. shift timings and extended shift timings according to business needs.
Educational qualification: University degree preferred. Work experience required is 2+ years with 3+ years preferred as per the stated requirements, while the role-specific requirements also specify 5+ years of hands-on payroll experience and 3+ years of U.S. payroll experience as a must-have requirement. The physical requirement is Sedentary Work. Career Level is 6IC.
