Job Description
Rubrik is looking for an International Payroll Senior Manager to join its payroll team. This is a high-level strategic leadership role responsible for the accurate and compliant execution of payroll across multiple global jurisdictions. The role bridges finance, HR, and legal compliance to ensure employees are paid accurately and on time while meeting local labour laws, tax regulations, and corporate policies.
The International Payroll Senior Manager will manage payroll teams supporting multiple regions and will be part of the Finance team, reporting to the Senior Manager, Global Payroll. The role will work closely with Accounting, Equity, HR, Benefits, IT, and external payroll vendors to ensure effective global payroll operations.
Global Strategy & Process Improvement
Manage relationships with Global Managed Service Providers and conduct periodic RFPs to ensure cost-effectiveness and strong vendor performance.
Partner with IT to ensure seamless data flow between HRIS Workday, Etrade, other external third-party vendors, and the global payroll vendor.
Proactively identify opportunities to improve payroll systems, policies, processes, automation, communication, and employee education.
Drive scalable improvements that increase payroll quality, improve employee experience, and support rapid organisational growth.
Operational Excellence
Oversee the end-to-end payroll cycle for thousands of employees across diverse regions including EMEA and APAC.
Ensure payroll accuracy and timely completion of payroll activities.
Review off-cycle payroll, ensure timely cheque processing, and review payroll reports.
Handle escalated field queries and resolve payroll issues in a timely manner.
Collaborate cross-functionally with HR on new hire processes, terminations, and leaves of absence.
Develop internal controls to ensure the quality and efficiency of payroll functions and maintain regulatory compliance.
Communicate payroll procedures and requirements with company leadership and field offices.
Ensure data accuracy and process integrity across payroll operations.
Anticipate and promptly resolve issues, identify root causes, and recommend mitigation plans to strengthen business resilience.
Drive continuous improvements, automation, communication, and education to increase payroll quality and improve employee experience.
Proactively identify, drive, and scale improvements across payroll systems, policies, and processes.
Provide expert advice and execution to achieve business goals related to payroll.
Lead payroll projects with cross-functional teams and ensure projects are designed correctly for payroll compliance and implemented through sustainable processes.
Implementation and integration skills and knowledge are preferred.
Drive change management and successful adoption of payroll changes.
Assess and independently manage payroll issues and risks.
Funding & Treasury
Coordinate with the Finance team to ensure international bank accounts are appropriately funded.
Support currency conversion management to avoid payment delays and ensure timely employee payments.
Audit Management
Lead internal and external payroll audits.
Ensure payroll records and documentation remain audit-ready at all times.
Maintain appropriate controls and documentation to support audit requirements.
People Leadership and Development
Provide mentorship and guidance to payroll team members regarding professional development, technical skills, customer service capabilities, and management skills.
Set development and mentorship timelines and monitor progress.
Redesign development programs and activities where required to support the professional growth of payroll team members.
Compliance & Risk Mitigation
Ensure correct withholding and reporting for social security, income tax, and local statutory benefits including 13th-month pay and meal vouchers.
Manage complex mobility payroll scenarios involving expatriates, digital nomads, and employees on shadow payrolls.
Monitor changing labour laws and regulations across various countries to proactively prevent penalties, compliance issues, and legal disputes.
Ensure international payroll processes remain aligned with applicable local statutory and regulatory requirements.
Experience You'll Need
12β15+ years of experience in payroll, with at least 5 years specifically in a multinational environment.
Bachelorβs degree in Accounting, Finance, HR, or a related field.
CPP or Certified Payroll Professional qualification is a plus.
Hands-on experience with different payroll systems, Time and Attendance systems, Human Resources Information Systems, and Payroll Service Providers is preferred.
Workday HCM knowledge is required.
Excellent project management and organisational skills with the ability to effectively manage multiple concurrent projects and tasks in a fast-paced and rapidly growing environment.
Excellent written and oral communication skills, including experience with education and change management.
Excellent analytical and decision-making abilities.
Demonstrated ability to support payroll operations.
Demonstrated ability to design and proactively improve operational processes.
Demonstrated ability to deliver results through influence and cross-functional collaboration.
Self-starter who can take initiative and lead and drive payroll activities without constant direction.
