The HR & Administration Assistant Manager will ensure efficient administrative services and support to office and remote employees under the HR & Administration function. The role will support the HR department in managing staff recruitment, employee engagement, training, compliance, and other HR activities.
Key responsibilities include ensuring efficient administrative services and support to office and remote locations. Managing seamless travel arrangements for employees including domestic travel, cab bookings, flight tickets, hotel reservations, international travel processes, foreign exchange requirements, visa processing, and passport renewals. Responsible for office stationery procurement and inventory management, pantry inventory, printing services, courier management, telephone and communication services. Coordinating office premises administration, infrastructure support, and facilities management in collaboration with Indiqube. Managing office events, meetings, and administrative support requirements.
The role includes vendor management and invoice processing responsibilities such as vendor coordination, vendor negotiations for cost-effective services, timely and accurate vendor bill booking in SAP, monthly provisions and invoice submissions, finance coordination for vendor payments and issue resolution, and maintenance of expense reports.
The candidate will lead recruitment for staff positions across India while supporting Halol HR in blue-collar hiring. Responsibilities include end-to-end recruitment, sourcing resumes through internal referrals, Naukri, HrGo, consultants, and other channels, conducting interviews, stakeholder communication, offer generation, joining coordination, and induction process management.
Responsible for employee confirmation processes ensuring timely completion, documentation maintenance, and effective employee feedback mechanisms. Drive employee engagement by drafting engagement calendars and implementing initiatives such as festive celebrations, meetings, birthdays, farewell events, and onboarding activities throughout the year while fostering active participation.
Support training and development activities by identifying training needs through skill matrices, competency matrices, and manager feedback. Implement training plans as per the training calendar while ensuring compliance with ISO and IATF guidelines, maintaining documentation, reviewing training effectiveness, and adhering to planned schedules.
Support statutory compliance and audit requirements including Shops & Establishments compliance, value compliances such as POSH, internal and external audits, ISO audits, and IATF audits with a focus on achieving zero non-conformities. Assist in maintaining harmonious employee relations through timely grievance resolution, proactive issue identification, and appropriate communication.
Manage daily HR activities and timely compilation of weekly and monthly HR MIS reports. Support policy drafting, forms and format preparation, tracker updates, data management, and maintenance of physical and digital personnel records including employment contracts, employee files, confirmations, and training attendance records.
The ideal candidate should have experience in recruitment, employee engagement, HR operations, grievance handling, training coordination, administration, travel management, end-to-end recruitment processes, HRIS systems, HR documentation, and exposure to ISO and IATF standards. Strong interpersonal, communication, analytical, problem-solving, conflict resolution, stakeholder management, teamwork, and result-oriented capabilities are essential.
